Terminology – application & maintenance
After the documents which are suitable for term extraction have been selected and the term database has been filled with content, (almost) nothing stands in the way of the translation work together with the term database.

Prior to application

After the term extraction and (usually, at the latest) during the approval process, it is often clear that a simple word list is not sufficient. Additional information, such as membership in a particular sub-area, the approval status, a definition, or a comment regarding usage are often helpful. Everyone involved in the translation management process benefits on the customer side, especially the translators. On the one hand, the facts become clearer and easier to understand; on the other hand, the term is decisive for the translator, so an uncontrolled increase of variations can be avoided.

Application

The terms have been collected, approved and assigned with attributes – now they can be integrated into the translation process. Proprietary term databases actively support translators when working in the respective CAT tool. If the translator uses the corresponding CAT tool, the program automatically matches the text to be translated with the term database. If there are matches between the database and the text, the CAT tool displays this directly to the translator. The translator can react accordingly and accept the correct term from the database. If, however, a term escapes him, the program reports an error in the automated check and urges the translator to correct it.

Maintenance

The maintenance of term databases is an ongoing process. After all, of what use is the best term database if it is hopelessly out of date and nobody has taken an interest in it for the past five years? A correction of terms, no matter how small and inconspicuous it may be, can cause great difficulties unless it is also incorporated into the term database. That is because this database is the basis and guideline according to which translators translate texts. If changes are not entered, the translator translates the term again and again according to outdated specifications, and the same corrections are performed repeatedly during the review process. Not only is there an increase in the amount of effort involved; this situation is also a source of errors. Not all the necessary corrections are of a terminological nature, but a certain terminology inventory certainly reduces the scope of corrections. At the latest, it is now evident that a process for term database maintenance is indispensable if the database is to have a lasting operational benefit.
In general, it is best to make the term database available centrally and prevent the database from being able to be changed without supervision. This avoids unwanted changes, as well as problems resulting thereby during the translation, correction or validation. Make sure that your colleagues are also working only with the official term database. If everyone uses their own unofficial term database, all efforts in this regard have been in vain. This is especially true for country branches, which often have their own glossaries or word lists that differ from those of the head office.
